Provide support in setting up the billing schedule with the client and execute the billing and invoicing.
Prepare and distribute accurate and detailed meeting minutes in a timely manner.
Support with tender package submittal, subcontractor tender package recommendation to clients, subcontract award cost coding.
Participate in weekly subcontract progress meetings and progress tracking.
Develop and maintain positive relationships with client(s), consultant(s), sub-trades and suppliers.
Support the project team in ensuring total completion of project including contractually and financially.
Prepare and participate in meetings with project team, architects, consultants and subcontractors.
Support pull planning (Post-it Note) session with Subcontractors.
Assist in completing project close out including: close-out report, final purchase orders and outstanding charges.
Work closely with team members and decision makers to identify, recommend, develop, implement, and support cost-effective project delivery.
Assist with the coordination and completion of any deficiencies and issues related to the warranty period.
Manage subcontract submittals.
Coordinate the overall infection prevention & control (IP&C) process for the project which includes monitoring IC stages and separations as construction progresses, temperature, humidity, and differential pressure monitoring, pre-board and ceiling signoff inspections and reporting, enforcing and documenting IP&C cleaning requirements, monitoring the overall IP&C budget, chairing MDT meetings and compiling monthly reports for the client.
Assist with preconstruction planning activities including: look ahead schedules, HSE, Procurement, Construction Logistics and Project Execution Plans.
Provide other technical office support as required by project team.
Identify, address and resolve issues and problems as, or before, they occur.
Liaise with architects, consulting engineers, subcontractors, and suppliers regarding contract and change orders, tracking requests for information (RFI), RFQ, reviewing and coordinating approvals of shop drawings, design revisions, and coordination of information provided and required.
Prepare and update the project budget, schedule, and cost report during construction under the direction of the Project Manager.
Assist with updating and maintaining weekly master project schedule and ensure Superintendent look-aheads are aligned. Monitor productivity rates and subcontractor planned vs. actuals in the schedule.
Organize and maintain project site files and documents; manage electronic document database and/or file sharing site.
Assist with obtaining all permits and local authority permission to build.
Support digital construction team with logistic planning, clash Identification, coordination, resolution and 4D scheduling.
Maintain up-to-date, accurate documents for the project including drawings, plans, submittals, document logs, purchase orders, etc.

Strong analytical, critical thinking, troubleshooting, problem-solving skills, and a high degree of accuracy and attention to detail
Ability to work collaboratively in a team environment with a positive attitude
Completed post-secondary degree or diploma in a construction related discipline such as EIT, Construction Management, P.Eng or CET or related field.
Superior written and verbal communication skills
Excellent computer skills and experience with MS Office including MS Project; experience with SharePoint, and construction industry software including Procore and Viewpoint would be considered an asset
Ability to read and interpret contract specifications, drawings and other construction documents
Sense of urgency and strong commitment to achieving goals; ability to work in challenging, fast paced environment
Strong organizational and time management skills in order to prioritize work load and work within tight deadlines
At least 3 years “hands-on” experience in the capacity of project coordinator with an ICI General Contractor
Experience working on commercial and/or institutional projects from start to finish
Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment
Self-motivated with strong willingness and ability to learn and be challenged
