The Role
Overview
Provides admin support and project coordination for the structural engineering team.

Tasks
-Provide administrative support to project managers, engineers, detailers, and leadership team. -Help manage professional licensing for the firm (such as Certificate of Authorization) and individual engineers (such as state licensing renewals and professional development tracking) and organization memberships. -Coordinate onboarding of new hires and interns -Assist in organization and administration of GPLA participation of career fairs -Research vendors, materials, and industry-related information as needed. -Track and order PPEs for new hires/interns in coordination with Marketing. -Assist in project documentation, tracking deliverables, and updating internal systems upon request. -Assist with internal event planning, such as team meetings and training sessions as needed, including virtual webinars and in-person lunch-and-learns. -Provide mobility support as needed and serve as a backup for other administrative assistants -Process expense reports and purchase orders. -Manage calendars, schedule meetings, and coordinate appointments. -Coordinate with Marketing Lead on digital seal management and provide marketing support as needed -Prepare and edit reports, proposals, and technical documents. -Collaborate with local DPR teams responsible for administrative support, facilities, and leadership as needed.

What You Bring
-Familiarity with project management software is a plus. -Strong organizational skills and attention to detail. -Excellent written and verbal communication abilities. -Ability to sit or stand at a desk and work from a computer for prolonged periods of time. -Experience with project management software is preferred. -Detail-oriented with a proactive approach to problem-solving -Engineering and Construction industry knowledge a plus. -Ability to prioritize tasks and work independently. -Proven experience as an Administrative Assistant or in a similar role, ideally in an engineering or construction environment. -3+ years of administrative experience is required. -Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). -Ability to lift a minimum of 15 pounds if needed.
