Tasks

-Find and implement costs saving ideas monthly -Manage multiple concurrent projects while maintaining quality and deadlines -Conduct pre-move site assessments and post-move quality checks -Assist and complete weekly/monthly physical audits of space, as needed. -Resolves problems associated with building services (conference rooms, workstations) as needed. -Manage move-related documentation, including floor plans, asset inventories, and change orders -Ensure client satisfaction with delivery of facility management services and provide a lead role in monitoring and increasing customer satisfaction -Develop detailed move project timelines and communicate schedules to all stakeholders -Work within JLL and Client CMMS systems to claim tickets and ensure all issues are completed within the defined Service Level Agreements (SLAs) -Maintain furniture inventory database and track asset lifecycle -Assess furniture needs for new hires, relocations, and space reconfigurations -Coordinate with internal teams (HR, IT, Security) and external vendors -Coordinate with moving vendors, IT teams, and security to ensure seamless transitions -Assist with preparing project budgets and track expenses against allocated funds -Ensure that facilities are following applicable building, health, safety, and fire codes and regulations -Support existing contracts for facilities within your geographical areas -Ensure compliance with ergonomic standards and accessibility requirements -Work with vendors for furniture procurement, delivery, and installation -Assists management and JLL team with operational reporting, budgeting, financial audits, and purchasing as necessary -Accomplish key performance indicators as identified by Management. -Supports requests associated with JLL management, operations and financial audits -Plan, coordinate, and execute employee relocations, department moves, and office expansions -Proactively develop and maintain client relationships -Provide regular project status updates to management -Coordinate furniture installations, modifications, and removals -Complete all reports at their scheduled intervals (weekly, monthly, quarterly) -Establish strong relationships with clients, vendors and staff. -Convert requests outside of CMMS systems (phone calls, text, email, etc.) into tickets that can be tracked and resolved

What You Bring

-Bachelor's degree in Facilities Management, Business Administration, or related field (or equivalent experience) preferred -Capacity to deal with ambiguity and solve complex problems effectively -Proficiency in project management software and Microsoft Office Suite -Excellent written and verbal communication skills -Strong organizational and multitasking abilities -Physical ability to conduct site inspections and oversee installations -Have the ability to understand and read basic floor plans. -Detail-oriented with strong problem-solving skills -Customer service mindset with professional demeanor -Experience with CAD software or space planning tools (preferred) -Pays attention to details. Makes a conscious effort to understand causes instead of just the effects -Proactive in finding improvement projects and following through on a plan to complete projects -2-4 years of experience in facilities management, move coordination, or project management -Ability to work under pressure and manage tight deadlines -Excellent interpersonal, communication, organizational and management skills
