Tasks
-Support budget planning and contribute to continuous improvement initiatives. -Ensure compliance with company procurement procedures and support cost control initiatives. -Oversee daily delivery of soft services including cleaning, waste management, catering, reception, mailroom, and office logistics. -Source suppliers, obtain quotations, and negotiate pricing in line with budget and policy. -Liaise with service providers to ensure consistent quality of service and timely resolution of issues. -Monitor service performance against agreed standards and escalate concerns as needed. -Prepare reports and updates for upward reporting to management on service performance and spend tracking. -Raise purchase orders, track deliveries, and maintain accurate procurement records. -Maintain up-to-date records for facilities operations, HSE compliance, and procurement activities. -Manage procurement of office-related goods and services, including consumables, furniture, and soft service contracts. -Manage and monitor contracts for gym services and coffee machines, ensuring service levels are met and issues are addressed promptly. -Support space planning, office moves, and furniture coordination. -Identify and report service issues or risks to the Facilities Manager.

What You Bring
-Understanding of HSE compliance requirements in an office environment. -Experience coordinating office layouts, moves, and furniture logistics. -Ability to work collaboratively and manage multiple priorities. -Strong organisational and communication skills. -IWFM Level 3 or above (or equivalent qualification in Facilities Management) -Significant experience in a Facilities Coordinator or Supervisor role within a Corporate Office environment with a focus on soft service provision. -Knowledge of Sustainability Practices in facilities (e.g., waste reduction, energy efficiency) -Ability to manage and monitor service contracts -Demonstrable understanding of procurement processes and supplier management. -Familiarity with Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) -Intermediate IT skills with strong proficiency in Microsoft Office.
