Provide high-level administrative support to CFO and exec team

Tasks
-Coordinate catering and hospitality for client workshops, office visits, and partner meetings -Provide administrative support for corporate tickets, summit registrations, and event passes -Provide cross-functional support in e.g. marketing, onboarding, recruitment, and accounting when needed. Work with internal teams to help communicate finance related internal communications via Slack -Act as the primary point of contact among executives, employees and clients -Meet and greet guests in our London office, being a friendly face for all visitors -Manage expense submissions, reconciliations, and tracking -Prepare briefing notes ahead of external meetings and events -Assist in organising, hosting, and running both internal and external events -Organise team social events, booking venues, and scheduling activities - you'll be an integral part of the team -Minute taking of the Audit Committee meetings -Arrange travel and accommodation, sometimes at short notice with last minute changes -Inbox management, helping monitor and respond to important emails -Take on some Co-Sec duties, coordinating quarterly Board meetings and Audit Committee meetings. This involves a great deal of contact with the Octopus Energy Group Board members and their EA’s -Extensive calendar management, coordinating meetings across various time zones -Work alongside the EA team, being a team player and offering support and advice when needed

This role is perfect for an experienced Executive assistant; naturally organised, quick thinking and loves being that dependable right-hand person who keeps everything (and everyone!) on track You’ll spend most of your time in our London office (around 4 days a week) with the flexibility to work from home when needed. -Ideally experienced with Google Suite -Calm under pressure - you’ll need to juggle different tasks and priorities at the same time without dropping the ball -Able to thrive in a fast paced environment -Able to put yourself in others’ shoes -At least 3+ years’ experience supporting a c-suite executive (we're looking for someone to hit the ground running!) -Exceptionally organised with efficient time management, with the ability to prioritise effectively
