The Role
Overview
Coordinate daily facility operations, manage work orders, POs, vendor invoicing, and client support.

Tasks
-Acknowledge and address all client inquiries related to the site, responding promptly to client inquiries and concerns. -Work with landlords, tenants, and service providers to make sure they implement and recognize all procedures, policies, and reporting formats. -Assist with processing incoming vendor invoices, ensuring accuracy. -Review work orders, proposals, department files, and other paperwork submitted by vendors. -Follow instructions, short correspondence, and memos and ask clarifying questions. -Conduct site walkthroughs to identify and address site issues. -Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion. -Respond to common inquiries or complaints from clients, co-workers, and supervisors. -Dispatch work orders to technicians and vendors. -Deliver own output by following defined procedures and processes under close supervision and guidance. -Generate purchase orders within designated software programs. -Regularly monitor the status of open work orders to ensure their timely completion and closure.

What You Bring
-Demonstrated customer service abilities are required. -Communication skills to exchange straightforward information. -Must possess strong attention to detail. -High School Diploma or GED with 2 years of job-related experience. -Some exposure to finance-related tasks required. Experience with purchase order creation and invoice process preferred. -Ability to follow basic work routines and standards in the application of work. -Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups. -Must be self-sufficient and can work independently.Candidate should also be resourceful and proactive in seeking clarification when needed. -Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future. -Strong organizational skills with an inquisitive mindset. -Working knowledge of Microsoft Office Suite, to include Word, Excel, Outlook and PowerPoint.Experience using a CMMS preferred.
