The Role

Overview

Exec support to VP & regional team: admin, reporting, events, on‑site duties.

Tasks

-Prepare and distribute meeting agendas, materials, and minutes, ensuring timely follow-up on action items. -Assist with the planning and logistics of regional events, site visits, and special projects. -Ensure all regional invoices are uploaded and processed promptly for timely payment. -Uphold the highest level of confidentiality and discretion when handling sensitive information. -Perform a wide range of executive-level administrative duties, managing day-to-day operations and priorities for the Area Vice President and Regional Managers. -Draft, edit, and prepare professional correspondence, reports, charts, business plans, and presentations, often containing confidential and complex information. -Assist with reviewing petty cash, payroll, and resident relation inquiries, ensuring issues are handled efficiently and with care. -Track and maintain accurate vacation and sick time records for Regional Managers. -Maintain accurate records, schedules, and files to ensure smooth information flow and easy access to critical documents. -Schedule and coordinate internal meetings, events, travel, and conference calls as needed. -Provide on-site support at property locations during staff vacations or emergencies. -Collect, analyze, and compile information for renewal results, monthly and quarterly reports, and market studies to support strategic decision-making.

What You Bring

-Strong written and verbal communication skills, including experience drafting professional correspondence and compiling reports for executive review. -Availability to travel occasionally to regional properties for on-site support or meetings. -Exceptional organizational skills with the ability to prioritize tasks, manage competing deadlines, and maintain attention to detail. -3+ years of administrative or executive support experience, preferably within property management, real estate, or a multi-site corporate environment. -Valid and active driver’s license -Experience coordinating multiple projects simultaneously, ensuring accuracy and timeliness in a fast-paced, deadline-driven environment. -Strong understanding of invoice processing, payroll tracking, and expense reporting preferred. -Demonstrated ability to handle confidential information with discretion and professionalism. -Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, and Teams)
