Tasks

-Utilize platforms such as Procore to upload, code, and track invoices and purchase orders, ensuring proper documentation of project expenses. -Create and maintain standardized templates to ensure consistent, high-quality documentation across all aspects of the project, such as meeting minutes, close-out materials, compliance logs, and insurance tracking. -Ensure a complete and auditable trail of financial and administrative project records, including timesheets, material orders, and vendor communications. -Serve as a key liaison between the construction site team and corporate departments, ensuring smooth communication and timely execution of administrative deliverables. -Prepare and maintain financial documentation in coordination with field leadership, ensuring data accuracy and compliance with company standards. -Support tracking and coordination of procurement schedules, change order logs, and vendor quote approvals to assist the project team in maintaining financial accuracy and project timelines -Support the financial management of assigned construction contracts, including invoice reconciliation, owner pay applications, budget tracking, and reporting. -Works in close partnership with the Director of Construction, Senior PM, and PM to support team success through flexible, detail-driven administrative and operational coordination beyond listed tasks. -Prepare project correspondence, meeting minutes, and project documentation in support of the construction team. -Coordinate day-to-day project administration tasks in support of the field team and office supply coordination for the T5 team on the jobsite. -Manage remote communication with vendors and subcontractors to resolve invoice discrepancies, confirm purchase order accuracy, and process accounts payable documentation. -Facilitate T5 subcontractor onboarding and documentation (as required), including tracking pay apps, compliance documents, and insurance requirements. -Manage the lifecycle of all construction project documents, including subcontractor invoices (as necessary), pay applications, lien waivers, insurance certificates, and performance bonds. -Manage contract setup, renewal processes, and tracking of quote submissions and escalation workflows. -Provide remote document control support to ensure timely review, filing, and access by field teams and stakeholders. -Maintain and update both digital and manual project records related to contracts, permits, compliance documents, and internal approvals from an off-site location.

What You Bring

-Experienced using construction and financial platforms such as Procore, Autodesk Construction Cloud, SAP, Oracle, or similar. -High degree of accuracy and thoroughness in handling project documentation, financial data, contracts, and compliance-related materials. -Ability to design and implement administrative and operational workflows for construction project support, including documentation standards, invoice review cycles, compliance tracking, and subcontractor onboarding protocols. -Associate or Bachelor’s degree in Business Administration, Construction Management, Accounting, or related field preferred. -Demonstrate effective relationship building within the project team and throughout the Company. -Strong knowledge of construction documentation, contract management, and financial processing. -Travel (10%) -Self-starter with a proactive mindset; able to anticipate needs, identify process improvements, and add value without waiting for direction. -Experience establishing standardized processes and systems to support multi-site construction portfolios or enterprise-level project teams. -Demonstrated experience working with project documentation, financial systems, subcontractor coordination, and compliance tracking. -Strong interpersonal skills and ability to work collaboratively across departments and with external partners. -Minimum 5 years of experience in a construction administration or project support role, preferably in data center or large-scale infrastructure projects. -High level of integrity and attention to detail in handling sensitive project and financial information. -Excellent organizational and multitasking skills, with the ability to prioritize effectively in a fast-paced environment. -Proficiency in Microsoft Office Suite and BlueBeam
