Tasks
-Set up proper billing accounts and process advance deposits. -Monitor group cut-off dates and review with Sales or group contact. -Input manual reservations into the system when necessary. -Monitor and respond to group guests and meeting planners’ emails in an appropriate manner. -Resolve guests’ complaints, ensuring guests satisfaction. -Review group resumes and convey all pertinent information in the system to appropriate personnel. -Maintain complete knowledge of correct maintenance and use of all equipment. Use equipment only as intended. -Monitor and maintain cleanliness, sanitation and organization of assigned work areas. -Attend all meetings pertinent to groups, Pre-Con, GRC, etc -Input group rooming list. -Describe room accommodations and all amenities. -Maintain complete knowledge of and comply with all departmental policies/service procedures/standards. -Take group reservation calls and make reservations in an efficient and customer focused manner to achieve high level guest service. -Work closely with the front desk to ensure that special guests requests are handled appropriately and consistently. -Initiate deposit refunds or apply penalty when necessary. -Access guests’ history records to best service guests; maintain accurate information in guest history files. -Input correct information into proper fields to inform other departments of pertinent information (i.e., comments, alerts, guests’ messages). -Access all functions of the computer system. -Ensure accuracy of all details for group reservations entered into Infor HMS by overseeing checks and balances. -Verify all reservation information with caller to ensure accuracy. -Obtain all designated information to book a reservation. -Create individual files and group master’s with designated information for each group received from Sales department. Update changes received from Sales. -Process all group reservation requests, changes and cancellations. -Access guests’ history records to best service guests, maintain accurate information inn guest history files. -Explain deposit and cancellation policies to callers, assign confirmation/cancellation numbers and relay such to caller. -Set up group room blocks in the system. Book group reservations against the room block.

What You Bring
-Luxury hospitality experience and knowledge of Forbes Travel Guide or Leading Quality Assurance standards. -Strong attention to detail and organizational skills. -Ability to thrive and succeed in a fast-paced, demanding work environment. -Willingness to work flexible hours, including evenings, weekends, and holidays, as required by the role's demands. -Strong computer skills including proficiency with Microsoft Office software suite. -People Person - must possess a professional, positive presentation and strong motivation to provide exceptional customer service. -Excellent communication and customer service skills; read, write and speak English fluently. -Ability to work as a team-player and accept assignments from multiple individuals. -Professional appearance is required. -Previous experience in reservations or group sales in the hospitality industry preferred. -Ability to use office equipment in an efficient and effective manner. -Ability to multitask and prioritize and organize. -Able to type 35 w.p.m. -Ability to read and comprehend instructions and create correspondence and memos.
