The Role

Overview

First point of contact managing calls, guests, deliveries, and office admin tasks.

Tasks

-Answer phone through Teams and direct callers appropriately or take messages. -Assist with booking and canceling conference room reservations. -Update phone lists. -Responsible for placing all catering orders -Review the Monthly birthday/anniversary list. -Ensure lobby, kitchen and conference rooms remain tidy throughout the day. -Manage San Antonio's Office Calendar. -Greet/welcome all guests and notify the appropriate staff member of their arrival. -Assist with administrative projects/tasks/special events, as needed. -Monitor and order supplies for the office and kitchen. -Coordinate lunches and events. -Receive applicants for interviews. -Receive samples from vendors. -Assist clients/consultants/vendors & staff with any questions. -Assist with the scheduling of lunch and learns. -Update event calendars. -Process parking validations for clients. -Working with interior designers to assist with keeping the material library tidy -Monitor the conference room reservation system throughout the day and notify appropriate staff of possible conflicts.

-Must have professional phone-etiquette -“Can-Do” attitude: must be able to determine priorities and exhibit a high level of initiative and follow-through -Must be able to work overtime on an as-needed basis -Must have a professional personal presentation -Strong attention to detail and multi-tasking skills -Excellent organizational and technical skills (MS Office) -Must be reliable -Excellent communication and relationship management skills -Ability to interact professionally with all levels of the Firm, clients, and consultants -Must be able to function well both independently and as part of a team -Minimum 3-5 years of experience in an administrative capacity
