The Role

Admin and operational support for facilities, coordinating maintenance and compliance.

Tasks
-Maintain and update facilities management Databases & Trackers. -Raising of finance orders in line with Bellrock process. -Prepare reports, budgets, and analysis as requested by the Facilities Manager. -Take part in audits where required and log outcomes. -Order office supplies, monitor stock levels and restock when requested. -Participate in business continuity and emergency preparedness planning and implementation. -Monitor service level agreements (SLAs) and performance of outsourced providers and contractors. -Act as the first point of contact for internal facilities-related requests, inquiries, and issues. -Manage process of repair of Pagers & Alarms -Assist with Life Cycle tracker in line with Bellrock process. -Ensure all statutory compliance documentation (e.g., fire safety, HVAC, water testing) is current and properly filed to company standards. -Coordinate and schedule routine and reactive maintenance tasks with internal teams and external contractors. -Raise Life Cycle requests in line with Bellrock process. -Support with health and safety compliance, including maintaining risk assessments, incident reports, and training records. -Maintain team calendar for both sites, scheduling of contractors, ensuring site reception teams are informed of the contractors attending.

What You Bring
-Proficient in Microsoft Office Suite systems. -Excellent communication and interpersonal skills. -Ability to think creatively, positively and present ideas clearly and persuasively. -Ability to prioritize tasks and work under pressure -High school diploma or equivalent; associate or bachelor’s degree in business administration, facilities management, or a related field preferred. -Strong organizational skills and attention to detail. -Highly developed interpersonal and communication skills. -2+ years in an administrative or facilities support role. -Ability to work on own initiative and as part of a team. -Ability to work constructively with a wide range of professional staff at all levels.
