Tasks

-Lead the organization and process tracking for the department and its projects. -Organizes and maintains filing system, both hard and electronic files, and manages the transfer of them to property management, customers, and/or consultants. -Attend project construction meetings, prepare minutes and agendas. -Acts as point of contact and liaison with our internal transaction team, outside customers, vendors and general contractors. -Provides general administrative duties as required. -Update and enter vendor contacts. -Lead the process of tracking and organizing project related information for the department’s construction management and development projects. -Coordinate and attend scope meetings with tenants and contractors, as needed. -Prepares and review of AIA contracts with all necessary attachments (drawings, insurance, work letter, etc.) -Draft correspondence to existing and prospective vendors. -Prepare, bill and maintain construction management fees. Prepare project close-out packages. -Coordinate the department’s needs and schedules with customers, vendors, and general contractors. -Update and maintains various forms, (Owner agreements, job status report, misc. construction documents.) -Prepares RFP’s for upcoming construction bids, (including organizing and scheduling pre-bid meetings.) -Sort, distribute and follow up with project mail and e-mail; prepare outgoing packages, mail, and courier to meet daily deadlines. -File and prepare monthly expense reports. -Schedule project inspections and maintain tracking log. -Composes and prepares routine correspondence for the department. -Ensuring that all construction policies and procedures are followed for the various owners and/or landlords.
