The Role

Coordinate production schedules, handle customer communication, and manage admin tasks.

Tasks
-Greet walk-in customers and subcontractors; process and distribute check payments. -Track job check-ins and monitor vehicle locations via GPS to ensure timely arrivals. -Participate in on-call rotation for after-hours phone and referral coverage. -Coordinate daily and weekly schedules for the production team. -Send daily appointment reminders and follow up on referrals within 10 minutes. -Create and maintain job files with all required data and internal participants. -Prepare asbestos samples for shipping or pickup. -Maintain office cleanliness, stock supplies, and manage uniform inventory and orders. -Update notes and upload relevant information in the CRM for each job. -Assist the Office Manager with work events, meetings, and internal communications. -Handle Lost Sale Reports for cancellations or inspection leads not booked. -Track and upload asbestos results, notify relevant parties, and update files accordingly. -Schedule inspections, equipment pickups, demos, asbestos sample pickups, and other appointments. -Maintain balanced workloads for all crews. -Update and maintain employee attendance records, vacation requests, and on-call schedules. -Serve as backup for marketing administrative duties. -Update organizational charts weekly and post in Slack/Frame X2. -Provide a professional, friendly experience to all customers and partners. -Audit previous day's appointments for complete notes, photos, and next steps. -Maintain clear communication with team members via Slack and email. -Order business cards, office supplies, and printed materials as needed. -Track employee birthdays, prepare cards for signatures, and support company culture activities. -Answer inbound calls and direct customer needs to the appropriate department.

What You Bring
-Ability to multitask and problem-solve under pressure. -GED or equivalent education required. -Prior experience in construction, restoration, or service-based industries. -Strong organizational skills with attention to detail. -Excellent verbal and written communication skills. -Professional demeanor and appearance. -Valid driver's license and clean driving record. -CRM or job management software familiarity. -Comfortable with Microsoft Office Suite and basic digital tools. -Previous experience in dispatch, scheduling, or administrative coordination.
