Front‑of‑house receptionist handling visitors, admin and facilities support

Tasks
-Proactive engagement with monitoring service levels of our service providers. -Order office supplies, coffee supplies and keep inventory of stock -Provide accurate information in-person and via phone/email relating to the environment to stakeholders. -Manage local sub-contractors and with Sr Facilities Manager as the liaise with building management for both planned and reactive maintenance needs. -Participate and coordinate in Health and Safety functions in office. -Receive and welcome all visitors and clients to reception in a professional and welcoming manner. -Support meeting room bookings in both set ups and technology support (working with IT as required). -Process and report on purchase orders and invoices. -Support shipping/receiving function (sort mail, delivery packages and work with the Calabasas site for shipping labels). -Maintain meeting rooms and set up for functions. -Assist with event planning. -Ensure vendors are managed to ensure cleaning, catering and general office standards are maintained to required level as required (COI on file). -Notify host and direct visitors to the appropriate person. -Adopt a proactive approach to all duties and requests and be flexible enough to respond to ad hoc requests as they arise. -Take accountability for the physical Reception environment, ensuring it is tidy and presentable. -Be the main point of contact for resolving day-to-day issues and service providers for site visits. -Perform other clerical receptionist duties such as filing, photocopying, expenses, and any other requirement within capabilities. -Help with catering and order other food services as required by the office administrational requirements.

-Excellent communication and interpersonal skills. -Exceptional interpersonal and communication skills. -Strong problem-solving abilities and a proactive approach to customer service. -Fluent written and spoken English. -Solution orientated approach. -Flexible approach and team ethos. -Ability to handle challenging situations with composure and professionalism. -Previous experience in a customer-facing role within the hospitality or service industry (an advantage). -Ability to work under pressure. -Experience in a similar role and environment. -Excellent relationship-building skills. -Strong communication skills, both with suppliers and client stakeholders.
