The Role

Overview

Support planning, coordination and exception management for large project bookings and onboarding.

Tasks

-Maintain accurate records of project and scheduling activity to support compliance and audit requirements. -Take ownership and accountability of failed or at-risk appointments, engaging the correct internal/external stakeholders to drive resolution (e.g. locksmiths, DNO,). -Collaborate with internal teams to adapt processes for bespoke customer or project requirements. -Builds rapport easily and communicates effectively with customers -Maintain accurate records in the relevant systems and ensure data integrity. -Escalate resourcing issues and propose solutions to maintain service levels. -Proactively communicate with engineers and stakeholders to manage changes and updates. -Liaise with suppliers, customer service, DNO, and field management to enable successful planning and execution. -Assist in managing scheduling exceptions and complex bookings that fall outside standard BAU processes, include high level complaints. -Support scheduling on an ad-hoc basis as required. -Monitor plans and bookings for successful outcomes, escalating risks where projector scheduling to minismise rework or customer disruption. -Support the planning and coordination of major business projects and new customer onboarding, ensuring operational readiness across scheduling and field teams. -Manage and optimise daily and weekly engineer schedules using Field Force software (Salesforce FSL). -Analyse scheduling exceptions and act swiftly to resolve blockers (e.g. access issues, technical flags, route constraints). -Provide administrative and planning support for large scale onboarding, including documentation, exception handling, and system updates.

What You Bring

-Accurate data entry and system management skills -Experience of the Utilities/Energy industry would be beneficial but is not essential. -Proficient in workforce management tools (e.g., Salesforce FSL) -Excellent planning, organisation, and report writing skills -Skilled in conflict resolution and negotiation -Exceptional organisational skills particularly in time and diary management -Excellent communication skills, both written and verbal. -Strong background in scheduling, operations support, and workforce coordination -Confident communicator with planners, engineers, and stakeholders -Skilled in prioritisation, troubleshooting, and working at pace -Scheduling/workforce management experience -Analytical mindset; able to identify inefficiencies and root causes -Resilient and confident in turning challenges into positive outcomes -Comfortable using data dashboards to inform decisions
