Overview

Provide internal admin support & office operations for staff.

Tasks

-Monitor and order catering supplies to replenish stock. -PPE – order, release and track clothing and equipment for staff and escalate out of date items through reports. -Raising PO’s, Cheques, BACS as driven by the business. -Office operations – regular checks and reporting to support audits, health and safety and ensure the office is compliant or report issues. -Undertaking other duties not specifically stated above, which from time to time are necessary to maintain service levels, ensure compliance and provide quality office environments. -Processing of inbound and outbound post, business deliveries / packages. -Document formatting – update and amend documents using applications such as Bluebeam, PowerPoint, Publisher, Visio, Word, Excel, MS Forms. -Office Health & Safety – Ensure there are no hazards and report / escalate as necessary. -Providing out of hour’s support when required. -If security cleared to the appropriate level, you may be required to assist with support tasks relating to areas that require security cleared personnel only. -Office Access – monitor and record all visitors to adhere to office security protocols. -Monitor and order stationery supplies to ensure adequate stock on the office. -Support facilities as required to include maintenance visits, reporting issues, escalation and a keen eye on practical office facilities to ensure the office can run smoothly. -Inbound calls – where applicable, assist in taking centralised reception calls. -Where necessary, printing, binding, posting if the business need arises.

What You Bring

-Able to adapt style appropriately, developing good working relationships with the wider team and taking into consideration individual working preferences and approach. -Attention to detail. -Hospitality and catering experience preferrable. -Able to multi-task, organise and prioritise workloads whilst remaining calm under pressure. -Friendly and approachable with excellent, professional customer service. -Willing to learn and utilise your skills to provide a high level of service. -Highly articulate with excellent interpersonal skills. -Travel to other offices to provide support – essential. -Full, clean UK driving license and ideally access to a vehicle -Willingness to be flexible and adaptable. -Good working knowledge of Microsoft Office Suite, particularly Word, Excel and Outlook, 365 and PowerPoint and experience using online applications. -Ability to adapt to new ways of working, including the introduction of new technologies. -Able to work well as a team and on your own. -Enjoy working in a busy professional environment. -Couriers - Booking equipment and onsite kit where applicable.
