The Role

Tasks
-Provide move information to all parties involved in the moves and changes, including but not limited to plans, move packs and contact lists -Maintain all financial tracker administration duties required, within MAC functions -Provide support to the wider team as and when required to assist with the smooth running of the MAC services -Provide an outstanding Colleague experience throughout the MAC delivery process -Co-ordinate access permits and enabling works for any ad-hoc requirements -Produce MS Project programs for large scale moves -Interact with finance team to ensure a vendor PO’s are provided to vendors for work performed -To bring to the team’s attention any safety issue related to the move -Occupancy updates and uploads post move in Webcore -Ensure that all costs for moves are submitted to the relevant requestor for approval in a timely manner -Obtain clients stakeholder approvals and IFN approvals for all MAC work quotations prior to the start of any work -Maintain excellent relationships with Client stakeholders to ensure all client expectations are met -Maintain regular contact with the client representatives to review and resolve operational matters -Ensure that the occupancy data held in WebCore is maintained and updated once moves have been completed. Liaise with the portfolio optimization team on a regular basis ensuring system is up to date at all times, and that all works fall in line with the Portfolio Optimization strategy -Maintaining MAC and project trackers using the ISS tool kit to ensure all works, sanctioned costs, approval dates, vendor quotes and final costs including all relevant ISS mark ups are logged in the projects tracker -Manage the ISS sub-contractors to ensure all work is completed to the highest possible standards, within budget and in a timely manner to meet client expectations -Collects proposals for work and communicates costs to stakeholders for approval -Managing and signing off of contractors out of hours whilst work is taking place -Liaising with the wider ISS team -To implement regular H&S stand downs / toolbox talks and weekly site checklist as appropriate -Provide ownership, coordination and management of all moves and relocations, MAC lead changes and power and data changes where required within the Moves & Changes delivery stream up to the value of $100K -Ensure all Health and Safety documentation is in place and filed following completion of projects -Managing sub-contractors, client engagement, cost management and quality control -Communicate last minute requests and changes to all responsible workstreams and team members -To conduct day to day operations with due regard to environmental standards, legislation and regulatory requirements. -Work directly with space planning team to ensure all existing and proposed drawings are issued for client approval prior to works being carried out -To ensure that the highest quality standards are applied in all areas of day-to-day activity in order to satisfy and maintain ISS Integrated Solutions defined standards and the requirements of external quality verification. -Submits all required documents and obtains approvals for all work to be completed -Prioritizes urgent requests and provides immediate attention until resolved -Provide regular updates and management information as required -Ensure that the day to day operations within each move/project are conducted to the highest standards of safety taking account of all the legislative and regulatory requirements

What You Bring
-Experience completing projects as part of a larger team -People Management – the ability to interface with diverse client stakeholders and ISS subcontractors -Excellent IT skills required with key knowledge of Microsoft Office including Excel, Word, PowerPoint and Microsoft Project. Knowledge of Occupancy Management systems (Webcore) required with the ability to learn new technology and systems -Adherence to all MAC KPI’s ensuring that all reporting and measurements are met for client reporting tools. -Commercial Awareness – The ability to understand the key financial, labor and material variables and identify to the business where improvements can be made -Must be able to lift a minimum of 10 pounds -Resource Management – The ability to recognize where labor and materials can be saved and bring this to the attention of the manager -Approval of e-permits, access permits and contractor RAMS for MAC works -Ideally the candidate should have extensive knowledge within the MAC arena, including an understanding of interior fit out and office relocations -Sitting at a computer for extended periods of time -Respond rapidly to short term operational issues -Colleague Experience – The ability to understand client needs and work politely and diligent. Excellent communication skills. -Work Standards – The ability to recognize, implement and maintain high standards of excellence in the areas of quality, safety and operational performance within the client account -Resilience – The ability to maintain an objective and positive focus through periods of high and sustained work pressure -Must be able to work under pressure and time deadlines during peak periods -Decision maker – the ability to make key decisions as and when appropriate during the project life cycle, without waiting for prompting.
