The Role

Overview

Provide comprehensive admin support to senior operations directors, handling meetings, travel, communications and governance.

Tasks

-Coordinate and maintain the Business Unit meeting rhythm, including monthly reviews. -Devise and maintain efficient office administration processes to deliver an effective service. -Arrange and attend senior leader meetings, events, and conferences; take minutes and ensure appropriate facilities are organised. -Undertake multi diary management and plan schedules to optimise the working day of executive members. -Book UK and overseas travel and accommodation for senior leaders, including preparing and tracking personal expenses and other ancillary expenditure. -Screen incoming emails, messages mail and calls; manage responses directly on behalf of executive members as required. -Maintain accurate and secure paper-based and electronic filing systems, including archiving. -Organise and produce complex, confidential papers, presentations and reports for senior leadership.

What You Bring

-Previous experience providing EA/PA support to Senior Leadership Teams is preferred. -Highly organised, able to work on own initiative with limited supervision. -Up to 2 days volunteering per year -Proven ability to work well under pressure and to tight timescales. -Logical, proactive approach with a high degree of attention to detail. -Skilled user of SharePoint and Microsoft Office packages, including PowerPoint, Word, and Excel. -Ability to manage sensitive information across multiple projects and stakeholders. -Strong communication and influencing skills; able to engage and build effective relationships. -Experience supporting complex governance and meeting structures. -Demonstrable ability to prioritise and manage conflicting priorities during busy periods. -Discreet, confidential, and able to handle issues with great sensitivity.
