Vendor Coordinator

Tasks

-Ensure all vendor documentation (COIs, W9s, certifications) is current and compliant with company standards -Evaluate vendor qualifications including licensing, insurance, tax documentation, labor rates, and service availability -Foster strong relationships with existing vendors through regular check-ins and support -Identify and recruit qualified subcontractors and vendors through online research, networking, and outbound communication -Maintain accurate vendor records in work order and vendor management systems -Coordinate daily with multiple departments to ensure seamless vendor integration and service delivery -Collaborate with Facilities Management to prioritize vendor needs based on client and geographic requirements -Manage the end-to-end onboarding process, including application review, document collection, and submission for financial approval -Utilize mobile technology (laptops, tablets, smartphones) to manage tasks and access systems

What You Bring

-Ability to multitask and manage priorities across departments -Knowledge of data manipulation and analysis (Excel, SQL, Python, Tableau) is a plus -Proficiency with vendor management systems and CRMs -Experience in vendor sourcing, recruiting, or coordination—preferably in facilities maintenance or a related field -Knowledge of compliance requirements (COI, W9, licensing) is a plus -Strong communication and organizational skills
