The Role

Overview

Supports fee‑earners with pitches, proposals, transactions, and administrative tasks.

Tasks

-Handle client contact lists, including database management -Compile information to be used in periodic landlord leasing activity reports -Populate template market documents such as tour books, property flyers, and brochures -Create or assist with production and design marketing and collateral deliverables (eg. Pitch presentations, proposals, property flyers, brochures, marketing eblasts, event invitations, tour books, floor plan edits, updating stacking plans) -Abstract leases and draft proposals with direction from supervising C&W real estate professional -Coordinate travel and other logistics for fee-earner as necessary -Prepare expense reports, schedule meetings, book travel. -Prepare deal related documents and provide to fee-earner for review, approval, and delivery -Support timeliness of deliverables -Manage content creation process with regards to timeline and production cycle -Organize transaction documents, including confidentiality agreements, leases, contracts, listings, closing documents, etc for deal submission. -Provide sales and deal support -Schedule meetings with Client on behalf of fee-earner and coordinate any other arrangements as needed -Enter new leads and opportunities into the CRM system and update accordingly -Manage coordination with Marketing, Research, and Financial Analyst on behalf of fee-earner for the creation of pitch/proposal and deliver content as necessary -Assist in planning, scheduling, and promoting of fee-earner hosted events -Pitch and proposal coordination -Coordinate with other departments based on the needs of the fee-earner -Manage database

What You Bring

-Excellent project management skills -Excellent written and oral communication skills -Ability to multitask -Administrative experience for executive level professional for more senior positions preferred -Intermediate knowledge of Adobe InDesign, Photoshop and Salesforce a plus -Excellent attention to detail -Ability to take direction from multiple sources -3+ years’ experience in a professional organization or equivalent educational experience -Demonstrated aptitude to solve problems and navigate through obstacles -Advanced knowledge of Microsoft Office -Bachelor’s Degree (Business, Marketing, Communications, or Finance a plus) preferred
