The Role

Overview

Provides PA and admin support to operations managers, handling diaries, docs, communication.

Tasks

-Customer Communication: Support with customer communication — answering telephone calls, confirming installation details, managing expectations, and following up where required. -Documentation Preparation: Prepare and issue job-related documentation (e.g., installation packs, assumption/exclusion sheets, handover forms). -PA Support: Provide direct PA-style support to the Operations Manager and Deputy Operations Manager. -Diary & Scheduling: Assist with diary management, scheduling meetings, and coordinating daily priorities. -Digital Filing: Manage and organise digital filing, ensuring job folders and records are complete. -Project Tracking: Track project progress and update records in CRM Software (Job Logic & Monday). -Staff & Logistics Coordination: Help coordinate staff training, vehicle servicing schedules, and stock collection planning where needed. -Reporting: Collate information for weekly operations meetings and internal reporting. -Administrative Support: Handle general administrative tasks to support the wider operations team.

-Technical Proficiency: Proficient with Microsoft Office and general computer systems (training provided for Joblogic and Monday.com). -Organisational Skills: Excellent organisational and time-management skills. -Attention to Detail: Strong attention to detail and accuracy. -Work Under Pressure: Comfortable working under pressure and prioritising multiple tasks. -Communication: Confident communicator with a polite and professional manner. -Relevant Experience: Previous experience supporting managers, coordinating teams, or working in an administrative/PA role is highly desirable.
