Tasks

The postholder will have responsibility for management of support services including facilities, HR, general administration, procurement, IT systems, and financial processes, ensuring compliance with relevant legislation, standards, and industry best practice frameworks. The Head of Business Support Services is responsible for ensuring the efficient, effective and compliant management of the company’s business support functions that enable the business to operate in a dynamic customer-focused environment. -Support performance management and staff development processes, ensuring effective documentation and execution. -Manage the purchase order, invoices and operational expenditure processes. -Co-ordinate and administrate training, audits, incident reporting and corrective actions. -Manage procurement processes, supplier registers and insurance documentation. -Manage and administer data for environmental and grant reporting. -Play a pivotal role in supporting the growth and success of Exergy3. -Support employee engagement and wellbeing activities. -Manage register of required certifications, inspections and audits supporting accurate and timely completion. -Manage travel booking process, ensuring efficient administration and value for money. -Manage IT support contracts and policies including liaising with external IT providers. -Support the CFO on insurance renewals, cost tracking and budget monitoring. -Manage travel, events and general administration. -Manage HR administration including recruitment coordination, onboarding, training and leave management. -Manage support function suppliers and contractors, ensuring value, quality and timely performance. -Responsible for HR compliance including GDPR. -Maintain digital systems and document control (such as SharePoint, Teams, Office 365). -Support the company’s sustainability and ESG goals, maintaining environmental and energy records. -Maintain up-to-date policies, contracts and employee records. -Provide central business support to leadership and delivery teams, managing back-office systems and associated contracts, company policy, processes, documentation, travel, and facilities and administrative staff. -Identify opportunities to improve efficiency and digital working practices.

What You Bring

This role is suited to an experienced manager of back-office functions, who is dedicated to support service excellence. The Head of Business Support Services is expected to be able to work independently, juggle competing priorities, and deliver efficient and reliable support across all back-office functions within a dynamic and growing business environment. -Strong organisational and problem-solving skills. -Financial and commercial awareness; conversant with systems and processes for managing, maintaining and administering, purchase orders, invoice reconciliation and approval workflows. -Line management experience. -Experience of managing multiple back-office functions, services and associated contracts (including HR, facilities, IT, finance and general administration in a technical or high growth environment. -Compressed Hours (35 hr/week). -Competent user of Microsoft Office 365 and business systems. -Excellent report writing and communication skills.
