Tasks

-Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; adjusting plans. -Arrange domestic and international corporate travel and meetings by developing itineraries and agendas; scheduling the air travel; booking other transportation; arranging lodging and meeting accommodations. -Represent executives and the company to both internal and external parties by welcoming visitors; arranging company dinners and other corporate functions; answering questions and meeting requests directed to each executive. -Plan and execute high visibility events, such as charity functions, and corporate events. -Improve quality results by studying, evaluating, and re-designing processes, implementing changes. -Provide administrative support by maintaining paper and electronic files, processing invoices and expense reports, drafting and reviewing correspondence. -Effectively manage executive schedules by anticipating needs, prioritizing to business goals, and scheduling/accepting meetings with proactive time-zone awareness. -Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations. -Serve as liaison between the Legal/Compliance executives, other company executives and vice presidents to facilitate the smooth operation of the Legal/Compliance team. -Enhance the Legal/Compliance executives’ and corporation's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

What You Bring

-Minimum 3 years of experience supporting an Executive team member; experience supporting multiple executives preferred -Associate's Degree or Bachelor's degree preferred, High School Diploma required -Fluent with Microsoft Office Suite/Teams; experience with a variety of software-based systems (e.g., ERP and Concur). Experience with SharePoint preferred -Experience coordinating calendars, travel logistics, meetings; prior experience working with other administrative professionals to coordinate complex executive calendars preferred -Paralegal experience helpful but not required
