Tasks

-Assist project managers with tracking project schedules, budgets, and key milestones. -Coordinate and maintain project documentation, including contracts, RFIs, submittals, change orders, and job cost tracking. -Collection interaction with clients and internal project teams. -Daily cash management, deposit local cash receipts, and apply them to accounting systems. -Support the bid process by organizing bid packages, tracking deadlines, and following up on outstanding proposals. -Process monthly billings and waivers. -Work closely with clients and track compliance documentation. -Will assist with general office support, phones, messengers, shipping, mail, etc. -Monitor and update project status reports, ensuring timely communication with internal teams and external stakeholders.

What You Bring

-Excellent organizational skills with attention to detail. -This position requires excellent communication skills, the ability to multi-task while staying organized, and a “what can I do to help the team” mindset. -Strong interpersonal skills can foster positive working relationships with team members and stakeholders. -3+ years of experience as a Project Administrator, Project Coordinator, or in a similar role. -High degree of integrity, professionalism, and discretion when handling sensitive information. -Ability to prioritize tasks and manage multiple projects simultaneously, meeting deadlines consistently. -Strong problem-solving abilities with a proactive and solution-oriented mindset. -Adaptability to evolving project needs and a willingness to take on new challenges. -Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). -Experience with an ERP such as COINS, Plexis, etc.
