Tasks

-Provide administrative and operational support where required. -Support the mail room function (occasional cover as needed, not expected to be a regular duty). -Participate in health and safety and supply chain auditing. -Ensure vendors are managed effectively to maintain cleaning, catering, and general office standards. -Assist the Facilities Coordinators and Regional Facilities Manager in supporting the general functioning of the portfolio. -Support day-to-day operations, including a variety of administrative and operational tasks. -Provide accurate information in person and via phone/email to stakeholders regarding the environment. -Assist the Regional Facilities Manager and wider FM team with administrative requirements. -Take accountability for the physical reception area, ensuring it is tidy and presentable. -Serve as the main point of contact for resolving day-to-day issues. -Create a welcoming and great working environment for our visitors and colleagues. -Receive and welcome all visitors and clients at reception in a professional and friendly manner. -Adopt a proactive approach to all duties and be flexible in responding to ad hoc requests. -Liaise with building management and landlords as needed. -Process and report on purchase orders and invoices. -Provide administrative support including printing, filing, and preparing training materials. -Support meeting room bookings including setup and technology support (in collaboration with IT). -Carry out front-of-house duties at the reception desk. -Manage local subcontractors and liaise with building management for both planned and reactive maintenance works.
