The Role

Overview

Provides secretarial support, clerical tasks, and office management for DEEP bureau.

Tasks

-Completes, processes, and maintains paperwork for purchasing (e.g., orders, requisitions, invoices, etc.); -Takes notes and/or meeting minutes; -Maintains an inventory of supplies and equipment; -take notes (shorthand, speedwriting or other method acceptable to the supervisor). -Using computers, tablets, and other electronic equipment, formats and types a full range of correspondence, reports, bills, drafts, etc. from rough draft, transcription, dictated notes, etc.; -Posts notices and documents on the Department’s internet websites, and -Answers phones and takes messages; -Pulls and attaches related materials; -Arranges and coordinates meetings (including space and equipment); -Organizes and maintains files (including confidential files); -Maintains, updates and reviews reference materials and manuals. -Reviews, routes and prioritizes mail. -Makes travel arrangements. -operate office suite software; -Processing invoices, purchase orders, and other administrative forms; -Greets and directs visitors; -Designs office filing systems; -Scans correspondence; -operate office equipment which includes computers, tablets, and other electronic equipment; -Stay connected! Log in daily to your JobAps Personal Status Board to track your status and check email (including spam/junk folders) for updates and tasks. -Acting as a resource to staff and the public. -Orders supplies when necessary; -Compiles information from standard sources and prepares data reports (e.g., number of forms processed during the month). -Prepares expense accounts; -Composes routine letters/memoranda, etc. (e.g., standard replies and acknowledgement letters) for supervisor's signature. -Writes minutes of meetings, lectures, conferences, etc. from rough draft; -Arranging for Bureau travel and assisting with post-travel reimbursement forms; -Maintains time and attendance records; -Creating and maintaining electronic document records; -schedule and prioritize office workflow;

What You Bring

-Experience responding to public information requests or compiling information in response to Freedom of Information Act requests. -Ability to -Edits using knowledge of grammar, punctuation and spelling. -Experience interpreting information contained in document submittals and entering data into electronic file management systems. -Experience in the operation of Microsoft Suite, Adobe Acrobat Pro, and Zoom. -Answers questions requiring knowledge of terminology, organization, supervisor's responsibilities, etc. (e.g., appropriate referrals, general purpose of the unit). -business math; -Referral Questions: This posting may require completion of additional Referral Questions (RQs), which must be completed by the questionnaire’s expiration date.
