The Role

Overview

Provide executive admin support to senior team, managing calendars, travel, documents, events.

Tasks

-Perform a range of administrative services including responding to phone calls and email, calendar management, meeting coordination, travel arrangements, expenses etc. -Provide top notch service to clients, suppliers and other stakeholders by responding professionally and with a sense of urgency. -Prepare correspondence, documents, reports and presentations of a confidential, strategic and/or complex nature. -Lead or assist in the coordination of team and community events. -Liaise and coordinate events with individuals across our Parent Company and family of Business Units. -Coordinate and collaborate with various Govan Brown team members from time to time, as directed by executive group.

Govan Brown has an exciting opportunity for an experienced Executive Assistant to provide administrative support to the Executive Team in our Toronto office. Our ideal candidate will confidently perform a wide range of administrative and support activities to an executive team with varied needs and priorities. The ability to interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism is crucial to this role. -Previous roles in a professional services, commercial construction or real estate environment is an asset -High level of professionalism, sound judgment with the ability to get results -Self- motivated with the ability to take initiative and work in a fast-paced environment, handling competing demands -5+ years of experience providing administrative support to senior management – to multiple managers a definite asset -Enjoy working both independently and with a team, sharing information with others -Highly organized and a stickler for detail -University or College degree / diploma -Computer proficiency in Microsoft Office: Word, Powerpoint, Excel and Outlook -Confidence and moxie to interact with individuals at all levels and with differing styles -Flexible, with the ability to adapt to new ideas
