The Role

Overview

Coordinates client services, marketing, and transaction support for commercial real estate.

Tasks

-Coordinate due diligence facilitation for in-process transactions -Coordinate creation of pitch and assignment materials including Offering Memorandums, Broker Opinion of Values and presentation leave behinds -Organize, review and manage pipeline, database, marketing tasks and upcoming assignments -Administer annual holiday appreciation gift process -Input listing information into KM data base systems (KM Connect, CBA, Costar, Loopnet, Crexi, MWMLS, etc.) -Manage expense process by tracking, allocating and organizing -Organize and manage calendar and email inboxes by resolving conflicts, escalating issues as appropriate, and ensure timely response and delivery -Manage marketing efforts, including: -Lead and coordinate summary preparation of available properties for sale/lease -Plan broker-broker and broker-client events and guest visits for protestive and current tenants, owners, and partners ensuring memorable and positive experience -Provide Communication directly with clients, vendors, title/escrow, lenders and office staff over the phone, email and zoom -Coordinate day-to-day interfacing with clients, including assignment tracking (i.e. prospect interaction) and marketing updates -In partnership with Broker, organize and maintain shared and individual drives and creative ideas for new business opportunities -Create mailing lists based on location, uses, etc., as needed -Brokerage community marketing efforts (photography, eflyers, postcards, newsletters)

What You Bring

-Demonstrated accuracy and attention to detail -Ability to speak, write and understand English -Ability to attend meetings with clients and brokerage events -Strong computer skills (Saleforce, DocuSign and MS Excel, Word, PowerPoint, Outlook, Photoshop Big+) -Demonstrated ability to function in a team environment and proactively problem solve -Willingness and demonstration of professional development and continual learning -Demonstrated sense of urgency with execution and follow up of tasks and providing required information -Ability to prioritize, multi-task and utilize resources to execute tasks within a deadline-oriented environment -Strong writing, creating and managing documentation skills -Demonstrated commitment to continuous process improvement -Ability to occasionally travel to properties for showings or vendors -Ability to learn new Software Systems quickly -Ability to build relationships with clients, vendors and internal partners -Excellent communication and organizational skills -Ability to partner with Broker and other internal stakeholders to coordinate activities to complete a common task -Professional, clean and neat appearance -Highly motivated and high level of initiative
