The Role

Overview

Coordinate project finances, reporting, client relations and admin for Safety, Health & Quality team.

Tasks

-When required, acting as the primary client contact -Support cost centre finance management including finance system updates, debt, unbilled amounts, and WIP -Oversee project activities including: -Monitor project shared mailboxes as appropriate and ensure that all client related correspondence is passed onto an appropriate person -Monitoring project KPIs and flagging non-conformances to the commission manager -Collating and issuing project reports and dashboard -Support in managing client relationships including: -Assist with bids, as and when required -Taking and issuing minutes -Proactive management of actions arising from meetings -Chairing client meetings in a timely fashion -Enter, maintain and update tender and commission opportunities and other client details and relevant information on company databases at request of Cost Centre Leader -Management of subcontractors and suppliers including onboarding activities, progress meetings, and performance/annual reviews -Make arrangements for large external and internal meetings (not Director diary management)

What You Bring

-Good written and verbal communication skills -General administration experience -The ability to coach other support roles should the support team grow -Customer service / client facing skills -Experienced in SharePoint -An attention to detail -Proficient in Microsoft Office, specifically excel -Ability to evidence the delivery of quality -Excellent communication – both written and verbal -Self-motivated and ability to motivate others to achieve common goals -Ability to build positive and trusting relationships with colleagues, clients and others -Experience of finance administration / systems, e.g., invoicing, purchase ledger
