Tasks

-Schedule and document project meetings, distribute minutes and action items. -Track progress against milestones and provide updates to stakeholders. -Maintain transparency and control over project financial documentation. -Support clear and timely communication between internal and external partners. -Coordinate completion of client handover materials (O&M manuals, warranty documentation). -Accountability: Takes ownership of assigned tasks and follows through to completion. -Ensure all work aligns with project timelines and budget targets. -Coordinate communication between site, office, and client teams. -Assist with QA/QC documentation, closeout packages, and lessons-learned reports. -Develop, update, and monitor project schedules using MS Project or equivalent tools. -Assist with resource planning, subcontractor coordination, and equipment tracking. -Serve as the central point of contact for project correspondence. -Maintain accurate document control and version tracking. -Support the preparation of progress billings, purchase orders, and cost reports. -Represent the company professionally on all client interactions and site visits. -Ensure compliance with company and client quality standards. -Support Operations Manager with portfolio/project setup, scheduling, and execution. -Support field logistics including deliveries, mobilizations, and inspections. -Track change orders, budget adjustments, and forecast updates. -Prepare and maintain project documentation, including RFIs, submittals, change orders, and permits.

What You Bring

-Ability to obtain site access clearances (e.g., Controlled Goods, background checks). -Strong knowledge of construction methods, codes, and safety practices. -Communication: Excellent verbal and written communication with internal and client teams. -3–7 years of experience in project coordination within construction, engineering, or industrial services. -Exposure to restoration, utilities, or building systems projects preferred. -Familiarity with MS Project, Primavera, Procore, Buildertrend, or SAP. -Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams). -Attention to Detail: Maintains accuracy and completeness in documentation. -Valid G-class driver’s license and ability to travel to project sites as required. -Eligible to work in controlled or high-security environments (as applicable). -Safety & Quality Focus: Demonstrates commitment to a safe and compliant work environment. -Organization & Multitasking: Capable of managing multiple priorities in a fast-paced environment. -Understanding of project financials, cost tracking, and change management processes. -Additional coursework or certifications in project coordination, scheduling, or cost control considered an asset. -Problem Solving: Analytical thinker with the ability to resolve project issues proactively. -Teamwork: Collaborates effectively across disciplines and departments. -Experience supporting multi-disciplinary project teams and managing subcontractor deliverables. -Diploma or degree in Engineering, Construction Management, Architecture, or a related technical field.
