Tasks

-Liaison: Serve as the communication hub between field personnel, customers, and government agencies. -Collaboration: Work alongside a close-knit team to manage daily operations, including fielding incoming service calls, while continually brainstorming ways to improve process efficiency -Trains teammates and openly shares knowledge and experience -Scheduling and Coordination: Manage and optimize complex schedules for field teams, ensuring efficient resource allocation and timely project execution while maintaining flexibility to accommodate urgent customer requests and changing priorities -Data Management: Craft, process and organize reports and reporting systems for our inspection, testing and service teams -Support Operations: Own back-office functions, answer phones for urgent customer needs, draft communications and prepare work orders

What You Bring

-Process-driven: Affinity for developing and maintaining standardized and multi-step processes including rigorous follow-up -Industry Experience: Experience in the construction industry or commercial fire alarm tenant improvements is a plus but not required -Systems Expert: Build proficiency on the Google Drive platform and in our construction software (Viewpoint/Spectrum) -Technical Skills: Proficiency with Microsoft Suite (particularly Excel) and Google Suite (particularly GSheets) -Compliance: Drug screening and background checks will only be conducted after a conditional job offer is made. We evaluate criminal history based on its relevance to the job duties -Education: High School Diploma or GED -Positive attitude and professional demeanor including good judgment and honesty -Experience: 2+ years of administrative-level experience -Takes initiative and can operate with minimal guidance -Attention to Detail: A keen eye for detail and the capacity to maintain accuracy in repetitive tasks -Organized: Ability to prioritize tasks effectively, manage multiple projects simultaneously, and meet deadlines consistently -Enjoys a fast-paced environment while maintaining organization and operational rigor
