Construction Project Specialist

Tasks

-Identify and manage opportunities to increase efficiency of vendor contracts, project administration, and project closeout, addressing any issues or concerns that arise during the construction process escalating as needed. -Participates in the continuous improvement of construction processes and implementation of best practices to maximize efficiency. -Supports the Construction Manager in collecting vendor bids, assessing against construction drawings and approved scopes. -Track and collect TI Allowance Reimbursements from Landlords. Aggregate documents from real estate and construction as required for package submission according to lease and landlord requirements. -Responsible for tracking project status and relaying the information to internal and external teams and business partners. Communicates and distributes project related information to vendors and internal partners. -Review and track project costs against approved budget with accuracy and ensures change orders go through proper capex approval process. -Assists in the coordination of vendor payments: Review Invoices, identify/resolve billing discrepancies, and provide approval to Accounts Payable, as needed. -Creates and maintains project files including the tracking and collection of pay apps, invoices, lien waivers, permits, licenses, and closeout documentation.

What You Bring

-Proficiency in Microsoft Office Excel -Proven experience as a Construction Coordinator, Junior PM, or Administrative Assistant in a fast-paced corporate construction department. -Demonstrates willingness to be flexible and adaptable to changing work environment and deals effectively with varying workload requirements; can shift gears comfortably, manages competing demands, delays, or unexpected events. -Excellent written and verbal communication skills. -Exposure to and proficiency in Construction Management software a plus (Procore, Expesite, Lucernex, or similar) -Familiarity with commercial construction process, with industrial warehouse construction a plus. -Strength in building and/or documenting process a plus. -Strong organizational skills with the ability to multitask. -Attention to detail and problem-solving abilities.
