The Role

Overview

Provides executive support, manages calendars, communications, and office operations.

Tasks

-Manage incoming and outgoing mail, deliveries, and shipping needs. -Direct inquiries promptly and accurately, maintaining positive relationships across all levels of the organization. -Prepare and submit expense reports, upload and maintain contact lists, and manage reminders for birthdays, milestones, and key events. -Manage calendars, coordinate meetings, and handle travel arrangements (including working with a travel agent for the CEO). -Serve as the first point of contact for calls, emails, and visitors—ensuring a welcoming, professional experience. -Provide occasional assistance with personal errands or tasks as requested. -Manage invitations, catering, meeting setup, and logistics to ensure seamless execution. -Keep reception and common areas neat and organized. -Handle confidential materials and sensitive information with discretion. -Organize and prioritize email inboxes, responding on behalf of the COO as needed. -Order and restock office, breakroom, and janitorial supplies. -Participate in emergency response protocols and perform additional administrative tasks as assigned. -Assist in planning and coordinating company-wide events, leadership meetings, and town halls. -Support management of COIs, particularly during high-volume periods.

What You Bring

-Strong multitasking, organization, and follow-through in a fast-paced environment. Prior executive support experience is a plus. -High level of professionalism, confidentiality, and discretion -Excellent verbal and written communication -High school diploma or equivalent required; additional education or administrative experience preferred. -Exceptional attention to detail and time management skills -Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint)
