Overview
Manages admin, billing, and ops staff across branches ensuring accurate processes.

Tasks
-Manage and support Admin/OSS staff, including Sales Support, Bookers, Billers, Collectors, and miscellaneous support roles. -Respond to inquiries from Divisional Managers, Production, and Sales regarding job status, billing, or credits. -Prepare and distribute minutes/recaps for weekly regional meetings. -Run and analyze backlog un-invoiced and unbilled reports; follow up with branches for clarification and corrections. -Create and review Schedules of Values for large multi-family and commercial projects. -Support account reconciliations and complex AR issues as needed. -Conduct weekly team meetings and coordinate additional sessions with Billing and AR teams. -Manage project insurance certificate reporting. -Participate in bi-weekly AR meetings with Division Managers and AR staff. -Support National Accounts AR reconciliation and contract management. -Work with Billing and AR to maintain accurate Branch Support AR Audit Files. -Train new OSS/Admin staff and Production Assistants as needed. -Oversee credit memo approval and processing, ensuring timely resolution of over-earnings. -Ensure consistent, accurate processes for job booking, pricing, billing, and collections. -Attend branch Production and Sales meetings as needed. -Coordinate Certified Payroll and monthly reporting for OCIP or other project-specific requirements.

-Detail-oriented with strong organizational and problem-solving abilities. -Proficient in ERP/accounting systems and reporting tools. -5+ years of experience in operations, billing, or administrative management (construction industry preferred). -Ability to manage multiple deadlines across departments and regions. -Strong leadership and communication skills.
