Tasks

-Lead cross-functional transition teams with clear communication, accountability, and proactive issue resolution -Provide onboarding support and orientation for onsite and regional staff. -Escalate risks, delays, or issues to leadership and propose mitigation strategies. -Manage the collection and transfer of all essential data requests, including leases, documents, reports, marketing collateral, service contracts, insurance, compliance records, and tenant information. -Ensure termination of utility accounts, vendor contracts, and recurring services in coordination with disposition timelines. -Serve as primary transition contact for both owners and operational leadership, delivering regular updates ensuring complete stakeholder satisfaction -Identify process improvements and maintain best practices documentation. -Track and report on the status of all transition and disposition projects. -Serve as liaison between owners, property managers, accounting, leasing, and maintenance to ensure operational readiness. -Track KPIs related to transition efficiency and accuracy -Arrange setup of utilities, vendor accounts, security access, and operational infrastructure. -Update property management systems and databases with accurate property and tenant information. -Assist with converting property service contracts to the company’s standard contract template and terms. -Coordinate data integration across systems (e.g. CRM, etc) -Coordinate with ownership, buyers, and internal departments to transfer data, keys, leases, and service records. -Maintain high levels of organization, confidentiality, and professionalism. -Work with accounting to reconcile final financials and assist with escrow or closing documentation. -Maintain thorough offboarding checklists and ensure internal systems are properly updated or deactivated. -Manage resident notifications, ensuring legal and contractual requirements are met. -Lead internal kickoff meetings and manage transition timelines and checklists. -Facilitate due diligence activities for buyers, including documentation requests and property access. -Oversee the property offboarding process when an asset is sold or removed from the management portfolio. -Collaborate with IT and data teams to ensure proper integration of new property data into company systems including financial, maintenance, and reporting platforms -Coordinate the transition of newly acquired or assigned properties into the portfolio.

What You Bring

-Proficient in utilizing Microsoft 365 tools including Outlook, Calendar, Teams, Excel, Lists, Planner. -Ability to manage multiple priorities under tight deadlines. -Previous experience as a Property Manager and/or Regional Property Manager. -Experience with CRM software such as HubSpot, Salesforce, etc. -Bachelor’s degree in business, Real Estate, or a related field preferred. -Strong organizational, interpersonal, and communication skills. -Experience with property management systems (e.g., AIM, Yardi, Entrata, AppFolio) is highly preferred. -Knowledge of property lifecycle processes, including acquisition, management, and disposition. -2–4 years of experience in multi-family property management.
