The Role
Overview
Admin role managing files, invoices, and field support for service department.
Key Responsibilities

Tasks
Full cycle invoicing, which includes invoicing clients for completed work, as well as matching and approving POs Preparation and management of various project related documents, such as work orders, quotes, purchase orders change orders, etc. High volume file management and ensuring all information is updated and accurate Preparing warranties as required (standard, OIRCA etc.) as well as insurance requests Assist with Accounts Payable and Accounts Receivables on Service billings Understanding the various roles of the Service Department to ensure all calls and information is directed to the correct person Creating and closing subcontracts and submitting pay requests Working with various people to ensure all related documents are present and readily available Time card collection and review and payroll back-up if required Maintain employee paperwork for field personnel to ensure all necessary paperwork is provided and filed Collection and maintenance of customer contact and relevant information Ensuring CVOR logs are sent to Regional Health & Safety Manager each month Management and accurate documentation of Vehicle or Inspection reports, as well as ensuring CVOR reports are completed and filed
