The Role
Overview
Provide high-level admin support to exec team, managing calendars, travel, and projects.

Tasks
-Proactively anticipate the needs of executives and offer creative, effective solutions within a dynamic and growing organization. -Prepare and distribute materials for meetings, including agendas, reports, and presentation decks. -Maintain and update the Management Team’s Teams channel and related communication platforms. -Handle confidential and sensitive information with discretion and integrity. -Manage complex calendars and coordinate internal and external meetings, including logistics, agendas, and follow-up actions. -Coordinate travel arrangements for the executive team, including flight research and booking, hotel and dinner reservations, ground transportation, detailed itineraries, and conference registrations. -Draft, proofread, and edit correspondence, presentations, reports, and internal communications with a high degree of accuracy and professionalism. -Manage multiple projects simultaneously, following through on deliverables with minimal supervision. -Attend and take meeting minutes at Management Team meetings, Board of Directors meetings, and Shareholder meetings. -Organize and maintain department electronic files and documentation systems. -Assist with departmental budget tracking and expense reconciliation. -Provide proactive, high-level administrative support to the Executive Management Team, ensuring smooth and efficient day-to-day operations. -Providing logistical and hospitality support for key clients and strategic recruitment meetings, events, and conferences. -Prepare and process monthly travel and expense reports accurately and in a timely manner. -Assist in the organization and administration of strategic employee recruitment efforts as directed by the Management Team. -Maintain professionalism and responsiveness while managing competing priorities and deadlines. -Coordinating vehicle maintenance, arranging drivers for corporate events, and running occasional errands. -Serve as a liaison between executives, internal departments, and external stakeholders, ensuring clear and timely communication. -Preparing client-facing materials such as gift bags, meeting packets, and presentation folders. -Collaborate on special projects by conducting research, compiling data, writing, and fact-checking.

-Strong interpersonal skills with the ability to build relationships across all levels of the organization. -Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and document management systems. -Excellent written and verbal communication skills. -Strong organizational and project management skills -Positive attitude and strong work ethic -Exceptional organizational and time management skills with a strong attention to detail. -Self-motivated, proactive, and adaptable in a fast-paced environment. -Excellent written, verbal, and graphic communication skills -Ability to be both creative and analytical -Excellent interpersonal skills - ability to effectively interact with individuals at all levels -Detail-oriented and accurate -Minimum of 5 years’ experience supporting senior executives, ideally within an engineering, construction, or professional services environment. -High level of professionalism, discretion, and sound judgment. -Excellent problem solving and critical thinking skills -Ability to work in a team environment -Positive, solution-oriented attitude -Proven ability to manage complex priorities and deliver high-quality work independently.
