Tasks

The Travel and Logistics Supervisor position will be responsible for all domestic and international flight bookings, arrangement of accommodation, transportation, and communication with the individual. The person will monitor the travel budget and ensure that employees will travel within the set budget. Staying up to date with the latest travel restrictions, hotel agreements as well as best transportation arrangements to reduce any additional cost. Review hotel and transportation invoices to ensure charges are accurate. -Review all Flight, Hotel and Transportation invoices before payment is processed to ensure validity compared to actuals. Including all international outage accommodation and transportation across fourteen countries and includes certain 3rd party services personnel in addition to NMES. -Create and Maintain a Dashboard for cost tracking on Fights, Hotels and Transportation -Liaises with P&C department regarding visa requirements for different nationalities entering different countries before booking flights -Booking and Managing of all NMES Accommodation (Outage and Non-Outage), as well as certain 3rd party services personnel. -Obtains and compares available flights, car rentals and hotel accommodation to identify the best available option -On site Surface Preparation – ice blasting, coating and curing of Compressor parts (blades/vanes) with Aluminum Chromate coatings -Create and Maintain Flight Request Dashboard, to optimize time spend between request and issue of ticket -Liaise with Planning Manager on requested travels, to make sure this is in-line with mobilization requirements as per Outage requirements -Stay up to date with the latest Travel restrictions and Vaccine Requirements with regards to flights as per different country requirements and different nationality requirements -Make sure Travel Desk understand all the latest policies and procedures with regards to flights as Travel Desk will stand in when needed -Generator robotic inspections, rotor and stator rewinds -Obtains approval from the relevant leadership personnel for flight requests and costs against the respective budgets -Serve as an office-based point of contact for All Employees that need to travel domestically or internationally (Flight and Land Transportation) -Create and Maintain internal Travel procedure, communicate with Employees with regards to any changes that has an impact on travelling -Managing travel costs by tracking expenditures against overall budgets per department and outage

-Must have the ability to troubleshoot -Strong team player attitude; maintain flexibility within the changing business priorities and able to operate independently -Must have the ability to take the initiative in identifying shortfalls and creating solutions to improve or avoid problem areas. -Ability to manage multiple priorities/tasks simultaneously and work well under pressure, in a fast-paced environment -Bachelor’s degree or 2 years of experience in a Travel Booking related role -Strong organizational skills -Excellent customer, communication, and interpersonal skills -Must be able to learn and adapt as circumstances change
