Overview
Provides admin support to HR, design, and sustainability teams, handling calendars, travel, reports.

Tasks
-work closely with Human Resources, DPG, Allied Disciples, Landscape Architecture and Sustainability leadership to stay informed of multiple deadlines where additional help may be needed while understanding the importance of team-playing and offering services to assist others; -schedule meetings, conference calls and appointments, communicating directly with clients, as needed. -partner with and provide direct support to the Human Resources, DPG, Allied Disciples, Landscape Architecture and Sustainability groups including direct leadership support (calendar management, correspondence, staffing, department meetings, annual staff reviews, etc.); -recognize the importance of confidentiality when working with a variety of documents and conducts self in a professional manner; -assists with budgets and expense tracking; prepares and processes expense reports; and -perform a variety of administrative duties in support of the departments, project teams, or group leaders: -coordinate group travel arrangements; -prepare presentations and reports; -maintain daily communication with team leaders to determine assignments, priorities, and seeks clarification, as necessary; -may maintain logs and databases; -prepare correspondence, agendas, meeting minutes, etc.; -maintain ongoing communication with peers and works to maintain quality standards within departments through identification of problem processes, potential changes in work processes and participation in department meetings;

What You Bring
-A Bachelor’s degree in Business Administration or related field preferred -Minimum of 5 years administrative experience, preferably in an Architecture or Executive environment -Excellent communications skills, both written and verbal -Analytical, problem solving skills to identify and implement solutions to issues -Strong calendar management / scheduling skills -Proficiency in Microsoft Office products including Word, Excel, PowerPoint and Outlook; Adobe and InDesign preferred -Personal characteristics of self-confidence, resourcefulness, flexibility, initiative, self-motivation, loyalty, willingness to assume responsibility for decisions and the ability to deal effectively with people in a variety of relationships and situations -Demonstrated ability to build relationships across an organization
