The Role

Overview

Manage travel arrangements, compliance, and budgeting for construction teams across sites.

Tasks

-Manage travel changes, cancellations, and emergency travel support. -Support onboarding of new hires with travel-related logistics. -Ensure compliance with company travel policies and project-specific requirements. -Monitor travel budgets and identify cost-saving opportunities. -Maintain accurate travel records and expense tracking for reporting and reconciliation. -Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies. -Negotiate rates and build relationships with travel vendors and accommodation providers. -Provide after-hours support for urgent travel issues when required. -Liaise with project managers and site leads to forecast travel needs and align with project schedules. -Assist with new project travel cost estimates and create new project travel policies and procedures as needed. -Work during normal operating hours to organize and complete work within given deadlines. Work overtime and weekends as required. -Coordinate travel arrangements including flights, accommodations, ground transportation, and travel documentation for employees and contractors.

What You Bring

-Proficiency in travel booking platforms such as Sabre/Apollo and Microsoft Office Suite. -Regular, reliable attendance -Knowledge of Canadian and international travel regulations. -Excellent communication and interpersonal abilities. -2+ years of experience in travel coordination, preferably in construction, oil & gas, or industrial sectors. -Knowledge of travel compliance, safety protocols, and remote site logistics. -Experience with unionized workforce travel coordination. -Strong organizational and multitasking skills. -Work productively and meet deadlines timely -Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment -Ability to work under pressure and adapt to changing priorities.
