About the Role

As our Office Manager in Hawaii, you will be a key player in ensuring smooth daily operations and providing essential support to our growing team. You will manage front office operations, coordinate administrative functions, and serve as the first point of contact for clients, vendors, and visitors at our Honolulu office, while supporting field operations and maintaining a professional, welcoming environment. • Field calls, emails, and voicemails, route messages and respond to inquiries. • Greet and escort visitors, provide refreshments and a welcoming environment. • Act as primary front‑desk representative for the Honolulu office. • Perform filing, copying, scanning, and general administrative tasks. • Order and maintain inventory of office supplies, snacks, beverages, and equipment. • Process incoming and outgoing mail, packages, and deliveries. • Coordinate with building services and external vendors (pest control, security, phone, internet, contractors). • Keep office spaces, conference rooms, and reception areas clean and organized daily. • Schedule resident pre‑walk appointments, distribute notices, track vendor invoices, obtain permits, review pay applications, and support field operations. • Run local errands using personal vehicle (mileage reimbursed). • Update CRM data for marketing and sales, and assist with marketing events. • Plan and set up company events such as end‑of‑year party, pau hanas, BBQs, and other gatherings. • Collaborate with management, clients, vendors, and team members at all levels.

What You Bring

We are looking for a highly capable and organized Office Manager to join our SageWater team in Hawaii! We're growing, and we're looking for more great people to help us continue to grow! Recruiters or agencies should not apply. • Minimum 5 years experience in a professional office setting. • Proficient with Microsoft Office (Outlook, Word, Excel), NetSuite, and CRM. • Strong organizational and multitasking abilities with minimal supervision. • Excellent verbal communication and interpersonal skills. • Self‑motivated, positive attitude toward any task. • Fluent in written and spoken English. • Team player with strong interpersonal skills. • Preferred: BA/BS in Business Administration or related field; experience in construction or property management; additional language proficiency common in Hawaii.
