Provides high-level administrative support to senior executives and manages complex tasks.
Job Highlights
About the Role
• Manage the executive’s complex calendar, scheduling appointments, meetings, and conferences, and prioritize communications. • Coordinate domestic and international travel arrangements, including flights, hotels, and transportation. • Organize meetings: prepare agendas, take minutes, distribute materials, and set up videoconferencing technology. • Draft, edit, and proofread documents, reports, presentations, and correspondence; support special projects and research. • Oversee the executive’s budget, expenses, invoices, and expense report compliance, including payroll data entry. • Plan and execute executive events such as staff meetings, retreats, and workshops. • Provide administrative support to the executive team and other departments while maintaining confidentiality. • Collaborate with fellow administrators, department heads, and support staff to ensure efficient operations. • Anticipate and resolve issues proactively, acting as a delegate for expense approvals and timesheet reviews. • Maintain external contacts and relationships on behalf of the executive.

What You Bring
The Executive Administrative Assistant provides highly responsible administrative services to support the executive, senior management team, and the business unit. This role requires excellent organizational skills, discretion, attention to detail, and the ability to anticipate executive needs and lead others when needed. • Minimum high school diploma or equivalent; 7 years of administrative experience, including 5 years supporting an executive. • Proficient in Microsoft Office, internet research, and relevant database/software tools. • Excellent written and verbal communication with strong attention to detail and accuracy. • Ability to work independently and collaboratively with minimal supervision, adapting to changing priorities. • Demonstrated skill in building consensus, establishing trust, and communicating effectively. • Proven ability to identify and implement process improvements and efficiencies. • Strong organizational, time‑management, and problem‑solving capabilities. • Knowledge of corporate policies, procedures, and business‑unit practices. • Preferred experience with Concur, travel/expense software, eTime, Oracle, SailPoint, or service‑ticket systems; project management experience.
