About the Role

The position is an administrative support role for a construction‑site, project‑based team, responsible for daily administrative tasks and professional customer service. The incumbent will assist project executives and managers in keeping the office operations running smoothly. Key duties include managing the project calendar, processing invoices and expense reports, coordinating travel and meeting logistics, preparing correspondence, and maintaining organized filing and seating charts. Additional responsibilities involve ordering supplies, handling on‑site technical issues, conducting staff orientations, and supporting special projects. • Provide professional customer service and administrative support to the project team. • Process daily admin items such as mail, photocopying, filing, faxing, and invoice handling. • Manage project calendar, meeting schedules, and contact lists. • Prepare and distribute correspondence, memos, emails, presentations, and meeting minutes. • Coordinate travel reservations, accommodations, itineraries, and agendas. • Organize and facilitate project meetings, including logistics and documentation. • Maintain project filing system, organizational charts, and document retrieval schedules. • Order office supplies and manage project‑specific tools (e.g., access cards). • Assist with on‑site technical issues and liaise with Information Systems as needed. • Conduct project staff orientation and transition processes. • Contribute ideas for continuous improvement of administrative services. • Support ad‑hoc special projects and event coordination. • Maintain confidentiality and exercise sound judgment in problem‑solving. • Ensure compliance with safety policies and DE&I initiatives.
