About the Role

The Senior Assistant Property Manager – Commercial Office reports to the Property Manager and supports all functions outlined in the Property Manager role. This management position supervises building staff and operations, ensuring client facilities generate satisfactory cash flow, meet client standards, and maintain high customer satisfaction. • Manage building staff in the Property Manager's or General Manager's absence, performing all managerial duties. • Handle all building correspondence with clients, tenants, and vendors as directed. • Prepare and maintain orderly property files, including leases and contracts. • Obtain aging reports and follow up on delinquencies according to policy. • Process invoices with proper backup in accordance with established procedures. • Prepare lease abstracts and monthly rent rolls for management review. • Coordinate tenant move‑ins and move‑outs, including furniture delivery and pickup. • Manage above‑standard tenant work requests: obtain estimates, propose solutions, release work, and invoice tenants. • Oversee maintenance of work order and purchase order systems. • Develop and maintain a Tenant Service Package (handbooks, anniversary gifts, events, newsletters, training). • Ensure tenant information in the database is current and accurate. • Update and maintain office procedures in the Operations Procedure Manual. • Verify that Certificates of Insurance for tenants and vendors are up‑to‑date. • Oversee processing of staff hours, expense reports, and check requests for approval. • Process above‑standard tenant bill‑backs for utilities and after‑hours services promptly. • Assist with annual budget preparation, CAM reconciliations, monthly financial reports, and bank deposits. • Lead regular inspections with janitorial, landscape, and other service providers. • Participate in performance oversight of service contractors. • Oversee tenant improvement projects under management guidance. • Maintain a customer‑focused approach, multitask effectively, and act with a sense of urgency.

What You Bring

Candidates must hold a Bachelor’s degree in Business and have at least two years of real‑estate or property‑management experience. An active real‑estate license in the state of employment or a professional designation such as RPA or CPM is required, along with basic knowledge of software applications, building systems, and CAM reconciliation processes. The role operates in a professional office environment using standard equipment and requires regular travel between properties, often in varying weather conditions. Physical demands include moving between floors, climbing stairs, and standing or sitting for the majority of the workday. • Demonstrate initiative, organization, time management, and strong communication skills. • Hold an active real‑estate license in the state of work or possess RPA/CPM designations. • Possess basic understanding of computer software and building systems. • Understand reconciliation processes for CAM, insurance, real‑estate taxes, and lease terms. • Ability to assign tasks and manage the workload of other staff members.

Benefits
