About the Role

The Front Office Executive serves on the front lines of customer service, managing the busiest area of the office – the reception desk. You will welcome visitors, guide employees, handle all incoming and outgoing calls, maintain reception displays, and keep records such as telephone registers and client contacts. The role also includes general admin duties, help‑desk support, and participation in emergency evacuation procedures while ensuring compliance with company regulations. You will be responsible for smooth site operations, maintaining high service quality, conducting facility rounds, and reporting safety issues. Performance is measured on superior client service, process improvement initiatives, and personal development. Additionally, you will contribute to monthly management reports, develop reception policies, and support conference room and event coordination. • Greet visitors and create a welcoming office atmosphere. • Manage the visitor management system and maintain office decorum. • Answer, route, and take messages for all incoming calls. • Organize, update, and maintain files, records, and inventory spreadsheets. • Operate office equipment such as photocopiers and printers. • Record meeting minutes and dictations as needed. • Schedule and confirm appointments, meetings, and events. • Issue stationery and manage vendor entry processes for SEZ compliance. • Track inward/outward material and verify vendor documentation. • Resolve help‑desk tickets, ensuring SLA compliance. • Conduct facility, floor, and washroom rounds to ensure cleanliness and safety. • Report unsafe conditions, unusual occurrences, and customer suggestions. • Prepare and share day/night handover and 12‑hour site‑readiness reports. • Contribute to monthly client management reports and emergency evacuation drills. • Develop and update reception policies and procedures. • Support conference‑room bookings, event setup, and flower‑arrangement coordination. • Provide superior client service (50% of performance weighting). • Lead process‑improvement initiatives in the functional area (40%).

What You Bring

We are looking for a graduate (hospitality, business or any discipline) with 1–5 years of front‑desk or facilities‑management experience, preferably in IT, banking or corporate settings. Strong customer‑service orientation, excellent communication, teamwork and computer literacy are essential, as is familiarity with FM software and safety requirements. Candidates should demonstrate initiative, multitasking ability, and a commitment to continuous improvement. • Utilize excellent written and verbal communication skills. • Demonstrate strong computer and FM software proficiency. • Apply prior experience in facilities management and customer service.
