About the Role
The coordinator provides administrative and coordination support to Building Services Project Managers, maintaining organized and accurate project files, documentation, and records. They write, track, and reconcile purchase orders while assisting with invoice processing and job cost documentation. Scheduling responsibilities include assigning technicians to jobs and coordinating timelines with project teams and field leadership. Additional duties involve supporting project scheduling, meeting coordination, documentation tracking, and follow‑up on action items, as well as facilitating communication among project teams, technicians, vendors, and internal departments. • Support Building Services Project Managers with administrative coordination. • Maintain accurate project documentation and records. • Process, track, and reconcile purchase orders and invoices. • Assign technicians and coordinate job schedules with field teams. • Facilitate communication among project teams, vendors, and internal departments. • Assist in project scheduling, meeting organization, and action‑item follow‑up.

What You Bring
Successful candidates will have experience in construction administration or project coordination and possess strong organizational and time‑management skills to handle multiple priorities. Proficiency in Microsoft Office, especially Word, Excel, and SharePoint, is required, and the ability to learn new software platforms such as ERP or project‑management tools is essential. Excellent communication and interpersonal abilities are needed for interaction with project teams, technicians, vendors, and subcontractors. Experience with purchase orders, invoicing, or basic reconciliations is a plus, and a detail‑oriented, proactive, team‑focused mindset is valued. • Utilize Microsoft Office and adapt to new ERP/project‑management software. • Demonstrate strong organization, time‑management, and communication skills. • Possess construction administration or coordination experience; PO/invoicing experience a plus.
