About the Role
We are seeking a detail‑oriented Payroll Reporting Specialist to support our multi‑entity and multi‑state payroll reporting obligations, including payroll tax, workers’ compensation, and union reporting. The role is full‑time, on‑site five days a week, works closely with the Payroll Tax and Reporting Administrator and the Union Payroll Compliance Administrator, and reports to the Union Payroll Manager. • Support weekly payroll tax withholding deposit preparation for federal, state, and local requirements across multiple entities and jurisdictions. • Assist in preparing and reconciling quarterly payroll tax filings (e.g., Forms 941, state unemployment and withholding returns) with supporting schedules. • Compile payroll and job‑level data for accurate workers’ compensation reporting by entity, state, trade, and project, flagging variances. • Report payroll data for multiple entities against project‑specific policies. • Support monthly union reporting, preparing hours, wages, and fringe benefit details across entities, states, and union trades. • Assist in preparing union fringe benefit reports and remittance support, ensuring consistency with payroll and job cost data. • Maintain organized documentation for payroll tax, workers’ compensation, and union compliance. • Track compliance calendars and recurring deadlines, escalating risks or missing data before due dates.

What You Bring
The role requires both desk‑based and occasional physical tasks, such as prolonged computer use, minimal lifting, and maintaining constant mental alertness while meeting multiple compliance deadlines in a fast‑paced environment. • High School Diploma or GED required. • 0–2 years of experience in payroll, accounting, finance, HR, or related analytical support. • Basic understanding of payroll concepts (wages, withholdings, payroll cycles) or ability to learn regulated processes. • Strong attention to detail and ability to handle high‑volume, data‑driven work across multiple deadlines. • Proficiency with Microsoft Excel and other Office applications, including formulas and reconciliations. • Proficient in Windows and Microsoft Office 365 (Excel, Word, Outlook, PowerPoint, Teams) and general computer networking. • Excellent attention to detail and ability to analyze complex payroll data. • Strong written and verbal communication skills, including training subcontractors. • Ability to document procedures, maintain confidentiality, and work effectively under supervision in a compliance‑driven environment. • Cooperative attitude and ability to meet deadlines in a fast‑paced environment. • Excellent time‑management and multitasking skills. • Ability to work well in a large professional setting with patience and professionalism. • Strong team player, collaborating across departments and leadership levels. • Ability to sit, stand, walk, and perform minimal lifting (up to 50 lb) throughout the workday. • Continuous use of hands/fingers for mouse, keyboard, and computer operation. • Visual acuity for near, mid, and far range, including color vision and depth perception. • Ability to hear conversational levels in person, over the phone, and alarms. • Ability to speak clearly in person, groups, and over telephone/radio. • Minimal bending, twisting, kneeling, crouching, or crawling. • Constant mental alertness, accuracy, and attention to detail required.

Benefits
The position offers a salary range of $55,000‑$65,000, dependent on experience.
