About the Role
The assistant will work closely with project managers and administrative staff on daily airport planning, design, and construction tasks, while also handling grant administration, financial monitoring, and reimbursement reporting. The role requires strong attention to detail, critical thinking, clear written and verbal communication, teamwork, and the ability to meet deadlines. • Provide administrative support to executives, engineers, and other office personnel. • Maintain interoffice spreadsheets, emails, contact lists, and documentation for processing activities. • Assist with procurement and financial administration of state and federal grants. • Update grant spreadsheets with project expenses and coordinate with agencies or project managers. • Prepare grant budgets, reimbursement requests, and other financial paperwork. • Maintain grant files in compliance with each grant’s guidelines, policies, and conditions. • Process monthly credit‑card reports, weekly invoices, and balance cash and petty‑cash accounts. • Handle accounts receivable, professional‑development registrations, travel, and accommodations. • Coordinate internal and external catered events. • Answer phones, greet clients and vendors, and direct inquiries appropriately. • Ship contracts to clients and consultants for signature via UPS/FedEx. • Obtain required contract documents such as proof of insurance. • Update company resources with client, vendor, and contact information. • File and send documents to prospective clients and manage incoming/outgoing mail.

What You Bring
The position is full‑time, 40 hours per week in the office with possible overtime, and requires a valid driver’s license, a high school diploma (or equivalent) plus at least five years of relevant experience; an associate’s degree in a related field is strongly preferred. • Strong written and verbal communication skills. • Proficient in Microsoft Word, Excel, and Outlook. • High school diploma or equivalent with at least 5 years of relevant experience; associate’s degree preferred. • Valid driver’s license with an acceptable driving record. • Ability to work a minimum of 40 hours per week onsite, with potential overtime.
