About the Role

Key responsibilities include delivering professional customer service, processing routine administrative items such as mail, invoices, and business cards, and managing the project calendar, meeting schedule, and contacts. The role also involves preparing correspondence, maintaining organizational charts, coordinating travel and accommodations, organizing meetings and minutes, handling office inquiries, supporting Diversity, Equity & Inclusion initiatives, and troubleshooting onsite technical issues by working with the Information Systems team. • Provide professional customer service to the project team. • Process daily administrative items such as mail, invoices, and business cards. • Manage the project calendar, meeting schedule, and contacts. • Process expense reports for the Project Executive and Manager. • Set up and administer project tools, conference rooms, and access cards. • Draft and edit project correspondence, memos, emails, and presentations. • Create and maintain organizational and seating charts. • Coordinate travel reservations, accommodations, itineraries, and agendas. • Organize project meetings, prepare agendas, and record/distribute minutes. • Respond to office inquiries and proactively escalate issues as needed. • Support Diversity, Equity & Inclusion (DE&I) activities and company culture. • Establish visitor protocols in collaboration with the Project Manager. • Assist with onsite technical issues or coordinate with the IS team. • Conduct orientation and transition sessions for new project staff. • Maintain organized filing systems and manage document retrieval. • Order supplies to support project office needs. • Contribute ideas for continuous improvement of administrative services. • Assist with special projects and event coordination.

What You Bring

This position is located in San Antonio, TX and is classified as an experienced, salaried non‑exempt administrative support role for a construction site project‑based team. The employee will perform daily administrative tasks and provide support to project staff, reporting to the Project Executive and/or Manager. The ideal candidate holds a high school diploma or GED with at least one year of relevant administrative experience in construction, and may have a college degree or certification. Essential qualities include strong attention to detail, confidentiality, a proactive and positive attitude, excellent verbal and written communication, research and proofreading abilities, sound judgment, and proficiency with Microsoft Office and collaborative meeting platforms. The position requires the ability to sit for extended periods, lift up to 10‑25 pounds, and work in a construction site office environment that may involve noise, exposure to mechanical parts, and varying weather conditions.
