About the Role

The Executive Assistant to the Vice President of Operations (Maintenance, Reliability & Engineering) provides advanced administrative and project support to ensure smooth execution of operational, engineering, and maintenance initiatives across the network. The role demands exceptional organization, technical awareness, and coordination among cross‑functional teams in a fast‑paced industrial environment. The assistant serves as the operational hub for communications, scheduling, reporting, and project tracking, enabling leadership to focus on strategy and continuous improvement. Key responsibilities include managing a dynamic calendar, coordinating meetings, site visits, and leadership reviews across multiple logistics and maintenance sites, and preparing meeting materials such as performance dashboards, reliability reports, engineering updates, and budget reviews. The assistant handles confidential information, drafts internal communications, presentations, and executive summaries, and arranges domestic and international travel, expense reports, and departmental budgeting activities. Operational coordination involves overseeing maintenance and engineering projects from start to finish, compiling and formatting performance data (equipment uptime, client KPIs, project progress), analyzing results to inform decisions, and adjusting priorities as needed. The role liaises with directors, regional maintenance leaders, and site teams to ensure alignment on reporting and documentation, organizes root cause analysis and continuous improvement meetings, tracks action items to completion, and facilitates communication between operations, procurement, safety, and engineering departments. Leadership and culture duties include coordinating quarterly business reviews, site leadership meetings, and employee recognition events, supporting the onboarding of new leadership team members, and promoting a culture of safety, reliability, and operational excellence through consistent communication and organization. • Manage VP’s calendar, meetings, site visits, and leadership reviews across multiple locations. • Prepare and organize meeting materials, including performance dashboards and engineering updates. • Handle confidential business information and draft executive communications and presentations. • Coordinate domestic and international travel, expense reporting, and departmental budgeting. • Oversee maintenance and engineering projects, ensuring timelines and deliverables are met. • Compile, analyze, and present operational performance data such as equipment uptime and KPIs. • Facilitate root cause analysis and continuous improvement meetings, tracking action items to completion. • Liaise with directors, regional leaders, and cross‑functional teams to align reporting and documentation. • Organize quarterly business reviews, site leadership meetings, and employee recognition events. • Support onboarding of new leadership and promote a culture of safety and reliability.

What You Bring

Qualifications require a bachelor’s degree in Business Administration, Operations Management, or a related technical field (preferred) and at least five years of experience supporting senior leaders in operations, logistics, maintenance, or engineering environments, preferably within logistics, manufacturing, or industrial settings. Candidates must possess a strong understanding of maintenance, reliability, or engineering terminology, excellent organizational skills, proficiency with Microsoft Office, Teams, SharePoint, Smartsheet, and Asana, and the ability to compile, analyze, and present operational data clearly, along with exceptional communication, discretion, and professionalism. • Require a bachelor’s degree (preferred) and minimum five years of senior‑level support in operations or engineering. • Proficient in Microsoft Office, Teams, SharePoint, Smartsheet, and Asana; strong analytical and communication skills.
